In using the MCS Conference room, you accept responsibility for the following:

1. Catered meal service (sandwich trays, hot plate dishes, fruit trays, etc.) is allowed. Catered meals may be served with the proper form submitted to and signed by the Safety Office. FOOD FORM Brown Bag lunches must be declared as such. A food form is not needed for sack lunches provided by the participant. Refer to the Safety Office website for further rules on food service.
2. Ensure that alcoholic beverages are not served or consumed.
3. Ensure that you and the members of your organization remove all trash. You may not use building trash receptacles for its disposal. Trash is removed to the dumpsters outside the 3rd floor entrance of GSB.
4. Ensure that access doors are secured after the event is complete. Return all keys to the office by 8:15am the first business day following the event. Failure to secure the room may prevent further use of the room by your or your organization.
5. Pay the cost of special clean-up or repairs needed resulting from your organization’s use. If you are sponsoring an external organization, either your organization or the external organization must provide a $500 cleaning deposit in the form of a check or a UT account number with sufficient funds. If securing the reservation by check, the check must be in the Dean’s Office before permission will be granted to use the facility.
6. In the event of a cancellation, the McCombs Career Services must be notified in writing no later than 1 week prior to the event. Failure to do so results in forfeiture of the deposit, or charge to the account number provided by the UT entity in the amount of $500.
7. During Recruiting season the MCS facilities are available in order of priority: employer clients, faculty/staff, and students organizations with faculty-staff approval. (a faculty/staff member must be present for the entire meeting)

As the representative for the person, group, or event listed, I understand the regulations applying to the use of University facilities. I will assume responsibility for adherence to these regulations and policies. I understand that there may be charges for any/all of the above requested services. I affirm that I am an authorized representative acting on behalf of the above listed registered student organization or UT administrative unit at The University of Texas at Austin.

For UT Administrative Units, Faculty, & Staff:

I understand that my unit will be held responsible for returning the used area to the approved arrangement, and failing to do so will result in a charge of a minimum of $500. I understand that the penalty will be charged to the account listed below. I also understand that the cancellation fee will be assessed if the room is not used and the room is not released.
