Only bagged or boxed meals allowed with prior approval from the McCombs School Business Affairs Office with the submission of a signed copy of the Notification Form: On/Off Campus Food Preparation for On Campus Distribution

An UT Account # is required.  All rooms booked by Business Affairs require a cleaning deposit or account guarantee. The fee will only be assessed if the room is not cleaned, or if it is damaged. There is no charge for using the room and the equipment itself, but we do collect line charges for conferencing should they occur. Conference room charge policy.

In using the MSB Conference rooms, you accept responsibility for the following:

  1. Catered meal service (sandwich trays, hot plate dishes, fruit trays, etc.) is not allowed. Catered box lunches may be served with the proper form submitted to and signed by the Safety Office. FOOD FORM Brown Bag lunches must be declared as such. A “Brown Bag” is a meal provided by the person consuming it, not lunch provided for the attendee by the undersigned. A food form is not needed for sack lunches provided by the participant, cookies or donuts. Refer to the Safety Office website for further rules on food service.
  2. Ensure that alcoholic beverages are not served or consumed.
  3. Ensure that you and the members of your department remove all trash from the building to the dumpsters outside the 3rd floor entrance of GSB. Replace with new plastic trash can liners as provided.
  4. Ensure that access doors are secured after the event is complete and all equipment turned off. Return all keys to the office by 8:15am the first business day following the event. Failure to secure the room may prevent further use of the room by your department.
  5. Pay the cost of special clean-up or repairs needed resulting from your organization’s use. If you are sponsoring an external organization, your department must provide a cleaning deposit in the form of a UT account number with sufficient funds.
  6. In the event of a cancellation, the Dean’s Office must be notified in writing no later than 2 weeks prior to the event. Failure to do so results in a charge to the account number provided by the UT entity in the amount of $500.

Events involving individuals outside the University (conferences, outside speakers, job candidates) will have the highest priority. Also, events with confirmed speakers will have higher priority than events without a confirmed speaker. Other reservations are tentative, and MAY be replaced with a higher priority reservation. Regular classes or class presentations should be held in rooms designated as classrooms. If you have special needs for additional space for class-related activities, please have your departmental administrative staff contact the Registrar’s Office to assist in finding a room for you.

As the representative for the person, group, or event listed, I understand the regulations applying to the use of University facilities. I will assume responsibility for adherence to these regulations and policies. I understand that there maybe charges for any/all of the above requested services. I affirm that I am an authorized representative acting on behalf of the above listed department or UT administrative unit at The University of Texas at Austin.

I understand that my unit will be held responsible for returning the used area to the approved arrangement, and failing to do so will result in a charge of a minimum of $500. I understand that the penalty will be charged to the account listed above. I also understand that the cancellation fee will be assessed if the room is not used and the room is not released.

James Carlson, MSB Media Services, must check you out on the equipment. In the event of a tele- or videoconference, James must be given ample time to set up the lines and equipment. The minimum time allowable for this task is one week.
