Training Lab Reservations

The Technology Training Lab (GSB 3.128) is available to McCombs business students to practice group presentations. The lab is also available to Academic Departments to schedule Make-up/Extra-Time exams. Priority will be given to training classes and exams with remaining time available on a first come, first served basis. Please read completely through the following policies and reservation procedures before attempting to reserve the room.

(Note: For scheduling Make-up/Extra-time exams, if CBA 3.128 is not available, the following rooms may be used for the remainder of this semester: CBA 3.440 or CBA 3.436. Reservations for these rooms may be made through the front desk in the Dean's office.)

Lab Information:

  • 21 students computers, 1 teacher computer
  • Power outlets and LAN ports at every desk for notebook computers
  • Projector, interactive teaching monitor, and Smartboard for teacher use

Lab Availability:

  • Monday through Friday, 8 am - 5 pm (If required, exams can be scheduled outside of these times)

  • Closed on staff holidays

  • Unavailable when in use by the Training Team

  • You MUST make a reservation  to use the lab

  • Your reservation must be approved before your reservation is complete

  • Lab availability is NOT guaranteed

Once you have a confirmed lab reservation, come to GSB 3.128 at the time of your reservation and the lab will be open for your use. Ask one of the trainers if you need assistance with the computers or projector.

 

Lab access is restricted to 1 team at a time for presentation practices. More than 1 team at a time may use the lab only if all teams are using the computers for online research.

 

Presentation practice - your team can use the projector and lab computer to run through your presentation

Online research - you and your team members can crowd around a few computers and easily talk to each other while researching your project on the Internet

How Do You Make Reservations?

The lab can be reserved by sending a meeting request for the Technology Training Team Lab through Outlook.  Outlook must be configured to access your business school email, either on your own computer or in a Business School computer lab.

To send a meeting request:

In Outlook, click on the arrow next to the New button.  In the drop down menu, click on Meeting Request.

 

In the meeting request box click on the To button to open the Global Address list.

 

Begin typing Technology Training Team Lab in the field called Type Name or Select from List.  The words Technology Training Team Lab will be highlighted in the list below.  Make sure Technology Training Team Lab is highlighted, then click the Resources -> button to add it to the resource list.

*Optional - You can add your team members to your meeting in the Required -> field so they will receive the meeting request as well.

Click OK.

 

In the bottom field enter:

  • Names of students who will attend

  • Professor

  • Number of computers needed

  • Whether the reservation is for online research or presentation practice

Select the date, start time and end time for your reservation.  Your reservation cannot begin before 8 am, and must end no later than 5 pm.

Click the Scheduling tab at the top of the window.

The dark blue bars on the calendar show when the lab is scheduled to be in use, and when any of the other people invited, including yourself, are busy.

The white area between the green and red line shows the time you are proposing to have your meeting.  If the lab, or someone in your group, is busy you can adjust the time by dragging the green and blue bars to select a different time period, or you can adjust the times in the Meeting start time and Meeting end time fields at the bottom of the window.

When you are happy with the time you are requesting, click the Send button at the top of the window.

You will receive a response letting you know if your request has been approved.  If approved, the meeting will automatically be added to your calendar. YOUR RESERVATION IS NOT COMPLETE UNTIL YOU RECEIVE A RESPONSE.

If you sent this request to your team members as well, they can also send a message saying that they accept or decline.  The meeting will be added to their calendars if they accept.
