About Projects Labs

Modern Workspace for Team Collaboration and Industry Interaction

The McCombs Projects Labs (MPL) provide a modern workspace for McCombs students to collaborate on team projects and interact with their project sponsors. 

The Labs are intended for use by students, faculty, and staff working on projects with industry partners. The labs are designed to facilitate in person meetings, conference calls, and video conferences. Project teams are allowed to use MPL for group work specific to the project. Use as a general study room is not allowed.

OM, MIS, Marketing, and MSBA student groups receive priority. As those needs are met, access opens to McCombs faculty and staff, and then McCombs students not connected to a practicum project. Access by the general McCombs population is managed on a case-by-case basis.

Lab Reservations

Submit a Reservation Request

Reservations are available Monday - Friday        
7:00 am - 11:00 pm

Submit your request at least
24 hours before your meeting, not including weekends.

Requests made with less than 24 hours notice may not be reviewed before the requested time.

Access is limited to the Texas McCombs community.

Connection Instructions

The tabs below detail the various ways to connect with your project sponsor, and utilize the technology in the Labs.

Connect

Connect to the Lab

There are two methods to connect your PC, tablet, or mobile device to the built-in technology:
  • Direct Connection
  • Wireless Connection.
If your meeting is a video conference, connect your computer to the lab and select “Conference” before your sponsor dials in.

Direct Connection

Use direct connection to connect one computer to the Lab.

  1. Connect your device using the HDMI or VGA cable in the table. 
  2. Tap "Presentation" or "Conference" on the control panel.
  3. Tap "Table" to display information from your device.
  4. Tap “End Presentation” or “Close Conference” when use is complete.

Note: Please do not pinch the cords in the lid of the table compartment.

Wireless Connection 

Use wireless connection if more than one person needs to display information simultaneously. Up to 4 devices can connect at the same time. Use restricted.utexas network for wireless connection.

  1. Tap "Presentation" or "Conference" on the control panel.
  2. Tap "Air Media" – The wall display will show an http (IP address) and a code number. 
  3. Open Internet Explorer
  4. Enter the (IP address) in the URL bar – numbers within ( ) only.
  5. Download the utility software.
  6. Enter the code when prompted, and Connect.
  7. A small control box will appear. Use it to Start and Stop sharing information.
  8. Close the control box to disconnect Air Media.
  9. Tap “End Presentation” or “Close Conference” when use is complete.

Note: Use Internet Explorer to for wireless connection. Other browsers do not reliably work.

Presentation Display

Use Presentation to share information with people in the room.

  1. Connect to the Lab.
  2. Tap “Presentation” on the control panel.
  3. Tap "Table" to display information from your device.
  4. Tap “End Presentation” when use is complete.

Note: Tap both "Table" buttons to show information on both wall displays.

Conference Call

Conference Call

Use the conference phone on the table to speak to your sponsor.

Incoming calls – Provide the phone number to your sponsor prior to the scheduled meeting.
Outgoing calls – Dial 9 + area code + phone number.

Video Conference

Video Conference

Use Conference to share information with people in the room and remote locations. There are four ways to connect with your sponsor via video conference:

Direct Dial (Point-to-Point)

Use this option to connect with one external location. The external users must be in a conference room equipped with technology that is compatible with McCombs Projects Labs.  

  1. Provide the room’s IP address to your sponsor before the scheduled meeting time.
  2. Connect to the Lab.
  3. Tap “Conference” on the control panel.
    The camera will automatically turn on. It may take a few minutes for the system to warm up.

    External user calls the room’s IP address.

  4. Accept the incoming call on the control panel.
  5. Tap “Table” or “Air Media” to identify your connection.
  6. Tap “Send” to share your presentation.
  7. Tap “Close Conference” when use is complete.
  8. Tap “Yes, Quit” to end the session.

Video Bridge (Multiple Locations)

Use this option to connect with multiple external locations simultaneously. Contact Media Services to set up this Video Conference.

  1. Submit a Special Events Request at least 7 days prior to your meeting – Special Events Request Form
  2. Select “Video Conference” and indicate the number of remote participants.
  3. Receive connection instructions from Media Services. Read these instructions carefully.

If this is your first Video Bridge connection, schedule a test connection at least 72 hours prior to the actual video conference. Coordinate with Media Services and all external locations. Reserve the same lab for your test connection and video conference.

Skype 

The computer-to-computer connection will not use the room’s IP address or camera. The external user will see what the computer’s camera sees. Display the computer screen for the people in the room.

  1. Connect the Skype call as usual (computer to computer).
  2. Connect your computer using a Direct Connection (HDMI or VGA in the table).
  3. Tap "Presentation" on the control panel.
  4. Tap "Table" to project your computer screen on the wall display.
  5. Tap “End Presentation” when use is complete.
  6. Retract the table cords. Push the lever in the table compartment to release the cord.

Note: Please do not pinch the cords in the lid of the table compartment.

WebEx

The computer-to-computer connection will not use the room’s IP address or camera. Audio is supported by the conference phone on the table. Display the computer screen for the people in the room.

  1. Tap "Presentation" on the control panel.
  2. Connect one computer to using Direct Connection (HDMI or VGA in the table) or Wireless Connection (AirMedia).
  3. Connect to the WebEx meeting room as usual (computer to computer).
  4. Tap “Table” to project your computer screen on the wall display.
  5. Call the WebEx meeting using the conference phone on the table.
    Dial 9 + area code + phone number.
  6. Hang up the conference phone when use is complete.
  7. Tap “End Presentation” when use is complete.
  8. Retract the table cords. Push the lever in the table compartment to release the cord.

Note: Please do not pinch the cords in the lid of the table compartment.

Test Connection

Test Connection

If it’s the first time you’re connecting with your sponsor, we recommend scheduling a Test Connection at least 72 hours prior to your first Video Conference meeting.

  1. Coordinate with your sponsor.
  2. Reserve the lab you will use for your meeting.
  3. Use the appropriate Video Conference connection steps.
  4. Connect and test.
  5. Close Conference when complete.

Intended Use
The McCombs Projects Labs (MPL) are intended for use by students, faculty, and staff working on projects with industry partners. The labs are designed to facilitate in person meetings, conference calls, and video conferences.
Project teams are allowed to use MPL for group work specific to the project. Use as a general study room is not allowed.

Access is limited to members of the Texas McCombs community.


Reservations are available Monday - Friday between 7:00 am - 11:00 pm.  Requests should be submitted at least 24 hours before your meeting, not including weekends.

Requests from Supply Chain Management/Operations Management, Management Information Systems, Marketing, and MS-Business Analytics groups working on practicum course projects receive priority. Video conferences, conference calls, and in-person meetings with project sponsors receive priority. In the event that priority order impacts your reservation, you will be notified at least 48 hours in advance. 

General Policies

  • No food or open drink containers allowed.
  • Do not handle the camera – it will move automatically.
  • Do not allow the connection cords to be pinched by the lid on the table compartment. Retract the cords when use is complete.
  • Make sure to select “End Presentation” on the control panel when use is complete.
  • Do not remove the chairs from this room. The chairs should be returned to the original configuration around the table.
  • Erase the whiteboards before you leave.
  • Make sure the door is closed (and automatically locked) at the end of the reservation.

Keys

  • Room access is connected to the 1st Contact’s physical UT ID card. The Hotstamp on the back of the ID will be used to grant access.
  • Located on the back of your ID card, the Hotstamp is the first block of numbers from the left. It will be 5-6 digits long. If you do not have a Hotstamp, you will need to get a new ID card before MPL access is possible.

Cancellations

  • If you no longer need this reservation, you agree to promptly cancel your reservation. Cancellations may be submitted through the EMS system.

Certification

  • I understand the regulations applying to the use of University facilities and/or equipment. I assume responsibility for adherence to these regulations and policies, and will ensure the Labs are treated properly. I understand that misuse could result in the revocation of my future access to the McCombs Projects Labs.
