Things To Do Before Leaving UT
1. Buddy Program Final Event
Our last meeting with you is the Buddy Program final event. Take this time to say goodbye and enjoy each other's company before exams and your departure. We will let you know by email and Facebook when this event will take place each semester!
Once you have completed all your final exams and course requirements, you can leave Austin any time after completing these closing down procedures. There is no formal “check-out” in our office.
3. Address & Mail
Before the last day of finals but after classes, please change your local address to your permanent address in your home country using UT Direct. This way, any university correspondence will be sent home for you.
Put your country in the “city” field, leave the “state” & “zip” fields blank. Select “bypass address standardization.” If that doesn’t work, try zeros in the “zip” field.
Be sure to complete a forwarding address form with the U.S. Post office and/or your residence so you won’t miss any other mail after you leave Austin.
4. Library Books
Return all library materials to their respective libraries, whether from UT or any other source. Pay any fines or bars. Note that there can be a delay when fines or fees are posted, so you should check before the end of the semester and again just after.
5. Fees and Fines
After you close your computer account & return library materials, pay any fees or fines that you may have incurred (health services, parking, printing, etc.). Go by the Cashier's Office in room 8 on the ground floor of the Main Building. You may also check UT Direct on “What I Owe,” but due to time delays some charges might not be included, so it may be better to go in person.
Please note that these time delays might mean recent charges do not show up until you leave Austin. You will have to clear those from abroad in order to receive your grades, so please keep that in mind during the last two week if you use printing services, the Health Center, incur parking fines, etc. UT cannot release grades or transcripts if you owe any fees.
We will automatically send grades to your home coordinators. The grade reports are UT records, and have been acceptable to the home universities. However they are not "Official Transcripts." You will probably want at least one official transcript for your records. At UT only the student him/herself can request the transcript – we cannot. The official transcript is your confidential complete academic record, which only the student can request.
You may order a transcript in person at the Transcript Office on the ground floor of the Main Building. The cost is $10.00 per transcript, and you must show your ID card and fill out a short form with the mailing address to which you want the transcript sent. Be sure to select the option to "hold for this semester grades." You may also order a transcript online. Should you need to later, you can order a transcript at any point in the future online, by fax, mail, phone, or in person. Information on how to do so is on the Registrar’s webpage.
You can check your grades online at at the end of December or May to see what your final marks are.
IMPORTANT: Students from CUHK and ITESM, your schools require an UT official transcript to count your credit. You must request and purchase an official transcript from the Registrar's Office.
If you have found an internship for next semester, it must relate to your field of study and you need to get your visa extended at the International Office. Take these items to Margaret Luevano:
- Letter from employer with start and end dates,
- Description of duties, and any salary (can be unpaid)
- You will have to extend your health insurance
- Proof of financial support of ~$1,800/month
8. DS-2019 / J-1 Visas
Check when your exchange student DS-2019 and J-1 visa will expire. You will have 30 days to leave the U.S. after the date printed on the D.S. 2019. Please note that you cannot leave the U.S. and then return during this 30 day grace period. You must stay within the U.S. If you have any questions, contact International Student and Scholar Services (ISSS, phone 471-2477) in the International Office to meet with an immigration advisor.
For exchange students continuing academic studies at UT for another semester, please check your DS-2019 to make sure that it will not expire this semester.
9. Computer Account
If you set up any UT computer account services, you need to discontinue services. Read the page and click the I Agree button. You will then see the ITS Computer Services page, where you should cancel all services. You will be required to pay any outstanding charges at that time.
